Pack Committee Meeting Minutes
Thursday, January 22

Present: Brad Buchanan, Sue Caveney, Virginia Mansfield-Richardson
               Katrina Overton, Tom Overton, Brenda Powers

Tom reported everything was set for the Pinewood Derby.  There was help to move the track Friday night and to complete the set-up Saturday morning.  The trophies cost $385 and Angie was picking them up.  Check-in is to begin at 1pm.  Javier will do the computer and Mark will be the starter.  This year the Council did not produce a derby patch.

The agenda for the pack meeting on Tue. 1/27 will include promotion of the summer camping programs, promotion of troop/pack sledding day (getting a count of who is going), information on the MOST trip, John giving the Friends of Scouting presentation and the derby awards, individual car awards and an explanation on the District Derby at the Shops of Ithaca on Sat. Feb. 14.

Brenda  reported that there is about $4,500 in the pack account of which  $2,500 is in individual scout accounts.  Brenda gave the dollar amounts for the Ryan, Jesse, Joe and Cody who will be going to scouts next month.

Brenda needs the money and confirmation of those going to the Blue & Gold by the February den meetings so Ann has a final count.  Set-up will begin for the Blue & Gold at 4:15pm, dinner is at 5:30pm and other than the 
Ceremony for the Web II’s there won’t be many awards.  The troop needs to give us numbers for who is coming for dinner.  Roger has to let us know if he is going to present book covers.  Brad asked if the committee would support giving the boys some small gift.  After discussion Brad agreed he will present some choices at the next meeting.

Tom discussed the idea Dan had of doing a maple syrup fundraiser.  Dan is looking into who the pack might collaborate with make this happen.  The committee thought the spring would be a good time to do this.  Dan will come to a future pack committee meeting to discuss this.


The two trips the pack is sponsoring in the spring is a visit to the Museum of Science and Technology on Sat. March 21 and the Erie Canal Bike Trip on Sat. June 20 and Sun. June 21.  Virginia thought some people will only want this as a day trip because that Sun. is Father’s Day.

Katrina was going to put together a presentation for the cubs to view at the pack meeting on the District camping programs.

Brad sent the calendars to Javier to get the spring information on the website.  He also will send the information on the MOST trip.

The next pack committee meeting is Feb. 13 at 7pm at the Overton’s.
For the remainder of the year the next month pack committee meetings will be scheduled at the previous month pack committee meeting.

Present: Brad Buchanan, John Comisi, Katrina Overton, Tom Overton, Brenda Powers and Ron Powers

The meeting began announcing Virginia Mansfield-Richardson as the new Tiger Den Leader.  Katrina will offer a new leader essential training on Thu. Jan. 15th at the Lansing Library.  Brad will arrange for a room.

Next had a discussion about lack of parental involvement, cancelled snack at pack meeting because of this, need more help for the Blue & Gold Banquet and John volunteered to have meeting with parents at Tuesday’s pack meeting.

The re-charter numbers for this year was 33 cub scouts and we had 44 in 07-08.

Tom gave a report on popcorn: The pack sold $10,469 worth of popcorn and was the top unit in district, take order sales was $8,844, we have $635 in inventory which is enough for one “Show and Sell”, we discussed evaluating whether to do any “Show and Sell” next year because always the same families do this, and finally the district gave out incorrect information about the awarding of prizes.  Jesse wasn’t going to get a couple of things, if Tom doesn’t hear from the district Jesse will get these prizes, John is going to intervene.

Due to the excellent job the boys did in selling and the extra commission the unit received Tom suggested getting gift cards from Dicks ($5 for every $100 sold) for the cubs.  This was passed unanimously. 

The pack meeting agenda will be to have den reports, but not give out awards, while the parents are meeting with John.  The Webelos will do the opening ceremony.  Other things include the Bobcat ceremony for 7 cubs, awarding popcorn prizes and finally giving out Pinewood Derby cars. 

Both Resident Camp and Day Camp information will be announced at the pack meeting and included in the newsletter.  The dates this year are Thu. Aug. 14 through Sat. Aug. 16 for Resident Camp and Mon. Aug. 18 through Fri. Aug. 22 for Day Camp.  March 1 money is due so Brenda needs the money by the middle of Feb. for either camp.

Pinewood Derby:  Pit day is Sat. Jan. 17 and Doug Caveney is going to head this up.  The derby will be back at the Lansing Elementary School on Sat. Jan. 24.  Katrina was able to get the custodial requirement waived.  It was discussed to move the track from the Community Center on Fri. Jan. 23.  Ron, Tom, Randy M. and Brad will do this.  Set-up will be Sat. morning, with the same people plus Doug Emerick, Javier Streb and Mark Wheeler and anybody else helping, with check-in beginning at 12pm.  The next day, the 4H will have their derby race.  This is going to require assistance from the pack.  We discussed asking for a donation of $150-$200.  The time Sunday is 12pm-5pm and then the track has to broken down and returned to the community center.  Will distribute written rules to cubs, same as district rules, at the pack meeting.  Will allow one run down track to make sure car is able to go down. District Pinewood Derby at Shops of Ithaca and Scott Mosher is in charge.
 
Blue & Gold:  Event Sat. Feb. 28 starting at 5:30pm, Anne Miller catering everything, except cake and decorations which Brenda is getting.  Payment for families has to be made by January pack meeting.  Cost $5 person or $20 for immediate family only. Brenda will prepare a list so no tickets.  No charge for troop leaders or other special guests.

Pack Fundraiser:  Dan Segal asked about selling Maple Syrup as fundraiser, committee thought was a good idea, will have dan come to Jan. Pack Committee mtg. to present details.

Next, had discussion about a Lion’s request.  They would like cubs to volunteer to pass out smoke detector information and sell batteries at their pancake breakfasts.  We never reached closure on this.  Will get dates to den leaders and see what can do.

Discussed idea about getting cubs to wear their uniforms to school on days of den and pack meetings.  This would be a great recruiting mechanism.  The girl scouts already do this.

Budget:  Brenda reported we have $5356.66 in account after paying popcorn and re-charter bills.  The pack has approximately $2,350 once scout funds are taken out.  The Webelos II’s need to spend their scout account money by the Blue & Gold.
We then discussed the only way for the pack to get Ron’s yearly donation from Cargill is for the pack to file a 501c form.  Tom was going to look into this. 

Virginia Mansfield Richardson was going to look at scheduling at time at the Lansing Tops the weekend of Dec. 20th and 21st to have the boys ring the bell for the Salvation Army.

Javier will be getting the pack spring calendar up during January.

 October 6, 2008

In Attendance: Brad Buchanan, Sue Caveney, Mike Coles, Katrina Overton, Brenda Powers

We first talked about the trip to Scranton and the feedback on the Lackawana Coal Mine was outstanding.  The boys and parents really enjoyed the tour.  Steamtown was interesting but not as exciting for the boys.

The Council Cub Adventure Weekend was very popular but due to the large numbers it made the experience for the cubs and parents not enjoyable.  Kids had to wait an hour to shoot bb guns and some people had lunch over an hour later than the scheduled time.  Council should consider capping off registration so everyone participating has a quality experience.  The consensus of our committee is many parents will probably choose not to attend this event in the future because of this years experience.

Mike Coles, the Troop Committee Chairman, from Troop 48 came to the meeting and we discussed
the possibility of the troop providing (2) Den Chiefs.  One would be for the Webelos and one for the Wolves and Bears.  Katrina also asked if she could get a scout Wednesday, Oct. 15th for the Tiger Organizational Meeting at the Community Center at 6:30pm to work on a craft with the boys while Katrina talked to the parents.

Mike also let us know that the cubs can attend the Troop’s Haunted House at the Community Center on Sat. Oct. 25th from 6pm-9pm for free.  Web II’s can also help out with the Haunted House if 
they’re interested.

Mike, will have someone send Brad a schedule of what will happen on the troop/Webelos weekend.

We briefly talked about the Blue and Gold and crossover set for Sat. February 28th.  Anne Miller will cater everything but the cake and Brenda will order the cake.  Discussed, recruiting a parent from each den to help with this event.

Next, we reviewed the upcoming events: Sat. Nov. 1st Baseball Hall of Fame Trip, Sun. Nov. 9th Veteran’s Day Parade, Webelos Camp Barton Trip Nov. 14 and 15 and Tue. Nov. 18th Pack Mtg.

The website was our next discussion.  Javier is doing an excellent job.  Sue had some pictures for him to put up, Katrina is going to give him some links to put on the site, and Brad will get the spring calendar months with pack events.  Katrina also mentioned we need to take a look at the Pack 37 site.

Recruitment was the next discussion.  Katrina,  shared we had 42 cubs on last years re-charter.  We have a definite loss of 8 kids from last year and might end up being as many as 12.  Right now we have 1 new Webelos, possibly 2 new Bears and 2 new Wolves.  The Tiger recruitment meeting is next Wed. Oct. 15 and Katrina anticipates  5 or 6 specific boys who may be interested.  One is definite, Jesse Richardson’s brother.  At the open house a number of families picked up the flier.

Training our leaders was the next discussion.  Katrina, will offer local training at the Lansing Library Conf. Room in Nov. sometime.  She is waiting to get some training materials from Council.  The people who need to get trained include Tom O., Doug and Sue C., Javier S. and Mark W.  Others from Ithaca packs will also be invited to attend.

Oct. 21st pack meeting Brad will talk to Sandy Koch to see if she will purchase cider and donuts for snack.  Committee decided to hold off until Nov. for the first round of Bobcat Awards since the Wolves and Bears won’t be ready.

On the first Show and Sell the boys sold $600 of popcorn.  The next one is Oct. 13, Columbus day, from 12pm-4pm.   Brad was able to get this set-up outside Target.  We voted to distribute money to cubs generated from “Show and Sells” based on man hours worked.

We discussed receiving a donation from Cargill through Ron Powers employee hours program.  Reading what Michael Kazarinoff sent to Katrina it seems like it should not be a problem to get the pack to receive this donation.

Katrina thought pack should make a short presentation to Lion’s when present last years charter and have some Web II’s attend.  The Lions meet the first Monday of the month.

No one has located the other pack flag.  Katrina, estimated the cost of a new flag would be around $400 however she is going to research it some more and get a definite price.

Katrina, informed us we should see the pack patch soon.  The delay has been due to the embroidery.  The patch is 3inches long.

Brenda, gave an update on dues and the pack budget.  Only 16 boys have paid dues so far.  The Show and Sell Popcorn has been paid for which was $1,668 and we have a balance of $2,355 in the account.
